Terms and Conditions
These terms apply to every session, course and booking at The Olive Rooms, 102 Well Street, Hackney, London E9 7JA. By booking with us or using our sunbeds you accept them. If anything here is unclear, ask before you book — message us on WhatsApp 07876 170921.
The studio is operated by [registered business name — company number, or sole trader name], trading as The Olive Rooms.
01Who can use the sunbeds
You must be 18 or over. UK law prohibits anyone under 18 from using sunbeds on commercial premises, and we apply that without exception — including when a parent or guardian is present.
We ask for photo identification on your first visit and may ask again at any time. If you cannot produce it, we cannot let you tan.
We may also decline a session on health grounds. Tell us before your first session if you:
- burn easily, have very fair skin, or have a history of skin cancer in your family;
- have moles, freckles or skin conditions that concern you;
- take medication or use skincare that increases sensitivity to light;
- are pregnant, or are being treated for any medical condition.
We are not medically qualified and do not give medical advice. If you are unsure whether tanning is suitable for you, speak to your GP or pharmacist first. Where we think a sunbed is not right for you, we will say so and decline the session.
02Booking a session
Sessions are booked by message or call on 07876 170921. Send us a rough day and time and we will confirm a slot back to you. A booking is confirmed only once we reply — an unanswered message is not a reservation.
You are welcome to call in without booking during opening hours and use whichever bed is free, but we cannot guarantee availability without a confirmed slot.
Opening hours are Monday to Friday 10:00–20:30, Saturday 10:00–17:00 and Sunday 11:00–16:00. Your session ends at closing time, so please arrive with enough time to use the minutes you intend to.
03Changing or cancelling
Cancellations are accepted up to 24 hours before your scheduled session. Within 24 hours, cancellations are charged at 50% of the cost of the booking.
[Confirm the no-show rule: we suggest — if you do not arrive and do not tell us, the session is treated as a cancellation inside 24 hours and charged at 50%.]
If we have to cancel or shorten your session — equipment fault, illness, anything else — you pay nothing for the time you did not use, and we will rebook you at the first slot that suits you.
04Prices and payment
You pay for minutes, not sessions. Every bed is charged at the same rate.
- Pay as you go — 95p per minute, on any of the four beds.
- 30-minute course — £26, which works out at 87p per minute.
- 60-minute course — £48, which works out at 80p per minute.
- 60-minute renewal — £43 for clients topping up an existing 60-minute course, at 72p per minute.
Payment is taken at the studio. Prices may change, but a course you have already paid for runs at the price you paid.
05How courses work
A course is a block of minutes, not a number of visits. You may use them in whatever lengths suit you, across as many visits as you like, on any of the four beds.
[Decide and state: do course minutes expire — for example within 12 months of purchase? Can they be transferred to another person?]
Courses are not refundable once minutes have been used, except where the law requires otherwise — see section 08.
06Your session
Before your first session we talk through your skin type and set a starting time to suit it. There is no charge for that conversation. We set your minutes to your skin rather than to the maximum the bed allows, and we may shorten or refuse a session if we believe the exposure is not safe for you.
For your safety, and as a condition of using the studio:
- Approved eyewear must be worn for the whole session. We supply goggles free with every session. Closed eyelids are not protection, and we cannot allow a session without them.
- At least 48 hours must pass between sessions, and we apply a weekly cap on total exposure. Both are enforced at the desk, including across different beds.
- Come with clean skin — no make-up, no perfume.
- Follow the instructions given to you at the desk and on the equipment.
We may end a session early, without refund of the minutes already used, if these conditions are ignored.
07Behaviour and belongings
We may refuse or end a session where someone is abusive to staff or other clients, appears to be under the influence of alcohol or drugs, or damages our equipment.
Please keep your belongings with you. We cannot accept responsibility for personal property left in the studio.
08Our responsibility to you
We will provide our services with reasonable care and skill, as the Consumer Rights Act 2015 requires. If we fall short of that, tell us and we will put it right.
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law. Beyond that, we are not liable for loss that was not a foreseeable result of us breaking these terms.
UV exposure carries risk even when it is managed carefully. We set your minutes conservatively and enforce spacing between sessions, but tanning is a choice you make with that risk in mind. Please tell us about anything that has changed in your health or medication between visits.
09Your personal information
What we record about you, why, and how long we keep it is set out in our Privacy Policy.
10Complaints
If something goes wrong, speak to us first — most things are settled the same day. Message or call 07876 170921 and tell us what happened and when.
[Add an email address here — needed for complaints and for data requests under the Privacy Policy.]
11Changes to these terms
We may update these terms from time to time. The version published here when you book is the one that applies to that booking, and the date at the top shows when it last changed.
12Governing law
These terms are governed by the law of England and Wales, and disputes fall to the courts of England and Wales.
